What to Send Us

  • A clear scan or photo of your employment certificate, employer letter, or service record — front and back if it is a card
  • An apostille or local certification if you already have one — it is placed in the country that issued the document, before it reaches us
  • Your full name exactly as it appears in your Russian passport or ID, so we spell it the same way in the translation
  • What you need the translation for: a residence permit application, mortgage application, opening a bank account, a visa filing, or another purpose
  • A phone number, email, or Telegram handle so we can reach you with any questions

Why Russian Offices Need Certified Translations of Employment Letters

When you apply for a residence permit, take out a mortgage, or open a bank account in Russia, a landlord or employer there often asks for proof that you work abroad or worked abroad — an employment certificate or letter from your previous employer. The document itself is foreign; a Russian authority cannot read it, and an unofficial translation is not enough. Under Article 81 of the Fundamentals of Legislation on Notaries of the Russian Federation, a Russian notary certifies the signature of a translator who holds a recognized translation diploma and is registered with that notary’s office. Our translators hold those credentials and are registered with a Russian notary, so every notarized translation we deliver meets the standard Russian authorities have learned to expect.

What a Complete Employment Certificate Should Contain

Employers format employment letters differently, but most Russian offices are looking for the same core elements: your job title, the dates you worked (start and end, or “to present”), a statement of salary or income, and the original signature of an authorized person at the company with the company’s stamp or seal. If any of those is missing — no signature, no stamp, incomplete dates, no salary — that is how the letter will be translated; we cannot add what the employer chose not to include. Confirm with the receiving office beforehand that an incomplete version will be accepted, or ask the employer for a corrected letter before you order — that is faster and cheaper than translating twice.

What Happens to Your Letter After We Translate It

Once you send clear scans, we produce a Russian translation and have it certified by a Russian notary registered with our office. The notary does not verify the accuracy of the translation or the truthfulness of the employment relationship — only that the translator holding a recognized diploma signed the translation. That certified signature is what banks, landlords, migration offices and tax authorities are trained to recognize.

Employment Letters, Service Records, and Employment Contracts

This service covers notarized Russian translation of any document proving employment or work history: an employer’s letter, a personnel record, an employment contract, or a service certificate. The €49 price below is for a standard one-page employer letter or certificate; a multi-page employment contract runs longer and is quoted per page once we see your scans, within 2 hours during working hours. If you are applying for a Russian residence permit, that page walks through which documents the migration office typically asks for. Different letters look different — a formal letterhead, a brief memo, a database excerpt — and none of that makes a letter invalid; we translate it in full, exactly as issued, and the receiving office decides whether it has what it needs.

Price and Ordering

Translation of a foreign employment certificate or employer letter is €49 per document, notarization included. That figure is on our pricing page alongside everything else we translate, and if you send us the scans we confirm it against your actual document within 2 hours during working hours — fixed before you pay, not adjusted afterwards. If you also need a bank statement or other income document translated alongside this certificate, or a notarized translation of another foreign document, we can combine them in one order and quote accordingly.

If a Russian authority rejects your translation because of a mistake we made—a misspelled name, a mistranslated term, a missing stamp—we redo it at no charge, on a rush basis.

Applies to our own translation and notarization work; it does not cover requirements set by the receiving office, such as an apostille it turns out you needed.

Frequently Asked Questions

Frequently Asked Questions

Does my employment letter need an apostille?

No, and we are not the ones who decide. An apostille is placed by the authority a country designates for that purpose, in the country where the document was issued, before it reaches us. Whether the letter you have needs an apostille is a question for the Russian office that will receive it — ask them, in writing where you can. If you already have an apostille on the letter, send it along with your scans and we will translate both.

What if my employer's letter is missing a signature or stamp?

We translate it exactly as it is, including the gap. Before you order, ask the employer to issue a corrected version with a signature, a stamp, dates and salary — faster and cheaper than translating twice.

How long does it take to translate an employment certificate?

Standard turnaround is 2-3 business days from the moment we receive clear scans of the document you need translated.

My employment certificate is from a small company. Will Russia accept it?

That is a question for the office that will receive it — a bank, a landlord, or the migration service. Ask what they require before you order.

We are not a Russian government agency, a bank, or an employer. An apostille, where one is possible at all, is placed by the designated authority of the country that issued the document, never by us and never in Russia. Foreign sworn or certified translations are not accepted by Russian authorities on their own; a Russian notary must certify the signature of a registered translator under Article 81 of the Fundamentals of Legislation on Notaries, which is what we provide. We translate documents exactly as they are — we cannot add information an employer left out. We do not decide what a specific bank, landlord, migration office or employer requires — confirm the exact requirements with the office or person who asked for the translation before you order.
