Russian Documents for Use in China

Russian Documents for Use in China

The Hague Apostille Convention entered into force for China on 7 November 2023, so apostille is the available route. We prepare the notarized translation in Krasnodar, add the apostille where it is needed, and ship to your address in China. Whether your office wants one is its own call.

  • Fully remote — no trip to Russia
  • Since 2001

What to Tell Us

  • Which Russian document you need: diploma, marriage certificate, birth certificate, police clearance, or something else
  • Which Chinese office it is for, and what for
  • Whether that office told you it needs an apostille or what it requires
  • Whether it said anything about the translation — which language it wants it in, and whether one made in Russia is acceptable
  • A mailing address in China for the finished document
  • A phone number, email or Telegram so we can reach you with the fixed price before you pay

The 1961 Hague Apostille Convention entered into force for the People’s Republic of China on 7 November 2023, following China’s instrument of accession deposited on 8 March 2023. Russia is also a party to the Convention. This means a Russian document going to mainland China today takes the apostille route, not consular legalisation. Before that date the route was consular legalisation, and a great deal of advice still circulating online describes that older process — if what you are reading says consular legalisation for China, it was written before November 2023. Hong Kong and Macao were already covered by the Convention beforehand; this change is about mainland China.

An apostille on a Russian document is placed in Russia, before the document leaves — it cannot be added in China and no Chinese authority adds it. We apostille originals issued in Krasnodar region; for an original from another Russian region we apostille a notarized copy and translation instead, or refer you to a trusted partner in that region — tell us where the document was issued and we will say which applies before you pay anything.

Two separate questions decide what you actually order, and they need to stay separate. The first is whether the Chinese office will work from an apostilled notarized copy instead of the original. Where it will, you need never send your only original abroad; where it will not, the original goes by courier. Practice varies by office and by document type, and there is no general rule for us to give you — only the receiving office can answer it. The second is the translation, and here there are really two things to settle rather than one: which language the office wants the document in, and whether it will work from a translation made and notarized in Russia at all rather than one made locally. Both are that office’s decision, not ours to announce, and the answers differ between offices. Ask yours before you order — it is one question in the same conversation where you ask about the apostille, and tell us what it says so we can quote the right work. The three documents we see most often are a Russian diploma for work or study, a Russian marriage certificate, and a certificate of no criminal record.

Here is what we prepare. A notary in Krasnodar certifies a copy of your Russian document, a diploma-holding translator registered with that notary produces the translation into the language your office asked for, and the notary certifies that translator’s signature under Article 81 of the Fundamentals of Legislation on Notaries — the signature, not the accuracy. If an apostille is needed, it goes on in Russia before the document travels: we apostille originals issued in Krasnodar region ourselves. You get a signed scan by email straight away and the original follows by international courier. Reckon on 2–3 business days for the notarized translation once we have clear scans, plus 2–5 weeks for courier delivery to China if you need the original sent as well.

Price depends on the document and its length rather than on the destination country; the standing rates are on the pricing page. Send us scans through the order form and you will have a fixed price and an honest answer on the deadline within 2 hours during working hours, before you pay anything.

Frequently Asked Questions

Do Russian documents need an apostille for use in China?

That is decided by the receiving Chinese office. Since 7 November 2023 the apostille is the form that exists between Russia and China under the Hague Convention, but whether a particular office asks for one is that office's decision. Ask before you order.

Before 2023, was the route different?

Yes. Before 7 November 2023, consular legalisation was the route. If you are reading older advice online, it described how things worked before this date.

Where does an apostille go if one is needed?

On a Russian document going to China, an apostille is placed in Russia before the document travels. It cannot be added in China.

Will a Chinese office accept a translation made and notarized in Russia?

That is the office's own decision. Some accept translations made in Russia; others want one made locally. Ask your receiving office before you order.

My Russian document was issued outside Krasnodar region. Can you still help?

Yes: we apostille a notarized copy and translation rather than the original, or refer you to a trusted partner in the region that issued it. Tell us where it was issued.

How long does it take?

2–3 business days for the notarized translation from clear scans, and 2–5 weeks for courier delivery to China if the original is needed. The signed scan reaches you by email immediately.

We are not a Chinese or Russian government agency and not a law firm; this is not legal advice. What a particular Chinese office requires, and whether it will accept a translation made and notarized in Russia, is that office's decision alone — confirm it before you order.
