Many people born in the Soviet Union or who worked in Russia for decades hold a work record book (трудовая книжка) that shows every job they held, every promotion, and how many years of pension eligibility they built up. Most pension authorities in countries with agreements with Russia will ask for a certified translation of your complete work record book (if you have it), or an employment certificate from your employers and an archive certificate for any years you cannot locate employer records. Do I have to translate the entire work record book, or only certain pages?

Can I get an apostille placed directly on my work record book?
No. An apostille under the 1961 Hague Convention is a certificate that attests to the authenticity of a notary's seal or official signature, not to the document itself. It cannot be placed directly on a work record book because the book itself was not issued by a Russian notary or government office with a seal that an apostille authority can verify. Instead, a notary creates a certified copy of your work book, and the apostille is placed on that notarial act. The notarized copy plus apostille, together with a certified translation, is then submitted to the receiving office.
I lost my work record book years ago, and I do not remember all my employers. Can I still get the documents I need?
Yes. The Russian Ministry of Internal Affairs maintains regional archives of employment records, and even if the original book is lost, you can request a certificate from those archives (справка из архива) showing your employment history based on their records. We can request that certificate for you — it carries the same legal weight as the original book for pension and immigration purposes once it is translated and notarized. Note that archive responses can take 2-4 weeks, so add that time to your timeline.
