A professional translation is not certified and carries no official status—it is for the employer’s HR team to read. However, if a work record book or employment certificate is going to an immigration authority or pension office rather than to an employer, it usually needs certification and sometimes an apostille. Tell us how many employees, which documents for each, approximate page counts, and any specialized terminology we should know about. Send the file list and a sample document through the order form and we usually quote within 2 hours during working hours. Handling Employee Personal Data
An HR batch is other people’s personal data, sent to us by an employer on their staff’s behalf, and it is worth being explicit about how it is handled. Files travel encrypted, only the people working on your order can open them, and they are kept while the order is active plus a support window afterwards before deletion. What if we move different numbers of employees in different batches?
We keep the glossary on file. When you send us the next batch months later, we apply the same glossary, so every job title, department name, and legal entity reference comes out identically across all your relocated staff, whether they arrived in the first batch or the tenth.
Some employees do not have their work record book. What then?
Where the book sits with a former employer or has been lost, an employment certificate can usually be requested instead, and archives can sometimes confirm a period of service. We can handle that request alongside the translation. How long an archive takes to answer is its own business and we do not promise a date on its behalf.
How long does a batch take?
It scales with headcount and with how many documents each person has, so we give you a date once we have the file list rather than a number now. Tell us the deadline when you send the list and you will get a straight answer on whether it is reachable — including whether a staged delivery, the most urgent people first, makes more sense.
